Getting Started

Clivio is an AI-powered document and finance management platform. Unlike traditional cloud storage that just stores files, Clivio reads your documents, automatically extracts key information (dates, amounts, vendors, deadlines), and turns them into searchable, actionable data. Whether you're a freelancer tracking invoices or someone organizing household bills, Clivio keeps everything in one smart place.
Cloud storage is passive — files go in and sit there. Clivio is active. When you upload a document, AI instantly extracts the important data: amounts, dates, names, deadlines. You can search in plain English ('invoices over €1,000 from last quarter'), get automatic reminders before deadlines, and turn receipts into financial transactions with one click. It's the difference between a filing cabinet and a smart assistant.
Clivio works for anyone dealing with documents. Freelancers and consultants use it to track invoices and expenses. Small businesses manage contracts and client documents. Individuals organize household bills, medical records, and tax documents. If you've ever lost an important paper or spent hours searching for a receipt, Clivio is for you.
We currently support PDF files and images (PNG, JPG, JPEG, GIF, WEBP). Our AI includes OCR, so even scanned documents are fully searchable. Support for Word documents (DOCX), spreadsheets (XLSX, CSV), and text files is coming soon.
Clivio works beautifully on mobile browsers with a fully responsive design. On mobile, you also get access to our built-in document scanner with automatic edge detection — just point your camera at any receipt or document, and it creates a clean, searchable PDF instantly.

Documents & AI

When you upload a document, AI automatically extracts: a professional title, document type (invoice, contract, receipt, etc.), a 2-3 sentence summary, the main date, total amount and currency, any deadlines or due dates, organizations and people mentioned, contact information (emails, phones, addresses), relevant tags, and the full text content for searching and chat.
Our AI achieves 98%+ accuracy on standard documents like invoices, receipts, and contracts. However, AI can occasionally make mistakes, especially with unusual layouts or poor image quality. You can always review and edit the extracted data, and re-process documents if needed.
Yes! Click on any document and use the 'Ask AI' feature. You can ask questions like 'What's the payment deadline?', 'Who signed this contract?', 'Summarize the key points', or 'What are the cancellation terms?' The AI reads the full document and gives you accurate answers.
You can search in plain English. Try queries like 'invoices from Acme Corp', 'contracts expiring this month', 'receipts over €100', or 'documents about the apartment lease'. The AI understands what you're looking for and finds relevant documents instantly.
Yes, with a Pro plan. You can add signatures, stamps, text annotations, and highlights to your PDFs. We also keep version history so you can see previous versions of edited documents.

Uploading & Importing

Multiple ways: drag and drop files into the app, use the mobile scanner to capture paper documents, forward emails to your personal Clivio email address, share your Dropzone link so others can send you files, or connect Gmail to import attachments directly.
Every Clivio account gets a unique email address (like yourname@inbox.clivio.app). Forward invoices, receipts, or any documents to this address, and they appear in Clivio automatically with AI extraction. Pro tip: set up an auto-forward rule in Gmail or Outlook for invoices.
Your Dropzone is a public page (like clivio.app/drop/yourname) where anyone can send you documents. Share the link with clients, vendors, or family members. Documents they upload appear in your Clivio with full AI processing. With Pro, you can customize it with your logo and brand colors.
On mobile, tap the scan button to open your camera. Point at any document — edges are detected automatically. Capture the image, adjust corners if needed, apply filters (color, grayscale, or black & white), and add more pages if it's a multi-page document. Clivio generates a clean PDF and processes it with AI.
Google Drive integration is coming soon. You'll be able to connect your Drive, browse files, and import them directly into Clivio with full AI processing.

Finance Module

The Finance module turns your documents into financial data. Upload a receipt or invoice, and AI extracts the amount, vendor, date, and category. Approve with one click, and it becomes a tracked transaction linked to the original document. See dashboards, track budgets, and generate reports — all powered by your actual documents.
Personal is for tracking household finances: budgets, subscriptions, savings goals. Categories include Food, Transport, Shopping, Entertainment. Business is for freelancers and companies: P&L tracking, VAT/tax management, client and vendor management. Categories include Software, Marketing, Legal, Contractors. Choose based on how you'll use it.
Finance Inbox is the bridge between documents and transactions. When you upload a financial document, it appears here with all data pre-filled by AI. Review it, adjust if needed, and approve — your transaction is created and forever linked to the source document. No more manual data entry.
Clivio is a 'pre-accounting' tool. We automate the collection, extraction, and categorization of receipts and invoices. You can then export clean data (CSV, or FEC format for French accounting) to QuickBooks, Xero, your accountant's software, or Excel for final accounting.
Yes! Clivio adapts to your country with the right tax fields. We support France (SIRET, TVA), USA (EIN, Sales Tax), UK (VAT), Germany (USt-IdNr), Spain, Canada, Australia, and many more. The system shows the correct fields based on your location.
Yes. For regular expenses like subscriptions, rent, or retainers, create a recurring transaction. Choose the frequency (weekly, monthly, yearly), and Clivio either auto-creates transactions or sends you reminders. Great for tracking subscriptions you might forget about.

Write AI

Write AI is a document editor with built-in AI assistance. Create proposals, contracts, emails, reports, and more. AI helps you generate content, improve your writing, adjust tone (formal, casual, technical), and even transform documents into different formats like LinkedIn posts or executive memos.
Professional templates include Legal Memo, NDA, Sales Proposal, Case Study, Offer Letter, Performance Review, Press Release, and Social Campaign. Basic templates include Meeting Notes, Business Proposal, Blog Post, Strategy Document, Job Description, and Newsletter. You can also save your own custom templates.
Remix transforms your content into different formats with one click. Turn a report into a LinkedIn post, an executive memo, a formal email, a video script, a press release, or a blog post. The AI adapts the structure, tone, and length for each format.
Yes. Generate a public link for any document. You can enable view counting, allow comments, set an expiration date, or add password protection (Pro feature). Perfect for sharing reports or proposals with clients.

Smart Folders & Automations

Smart Folders organize documents automatically based on rules you set. Instead of manually moving files, documents appear in the right folder as soon as they match your criteria. Create folders like 'Invoices over €1,000', 'Contracts expiring this quarter', or 'Medical records' — they populate themselves.
Filter by: document type, status, amount, currency, date, deadline, title, content, tags, organization, person, or source. Use operators like equals, contains, greater than, before/after dates. Combine multiple conditions with AND/OR logic. Use relative dates like 'last 30 days' or 'this month' for dynamic folders.
Automations perform actions automatically when conditions are met. Examples: when a document is uploaded with amount > €500, add a 'high-value' tag. When a deadline is 7 days away, send an email reminder. When an invoice from 'AWS' arrives, move it to 'Cloud Services' folder. Set it once, forget it forever.
Triggers include: document uploaded, document updated, status changed, tag added/removed, deadline approaching, scheduled times, email received, or manual trigger. Actions include: add/remove tags, change status, move to folder, archive, set deadline, send email/Slack/push notifications, or trigger AI analysis.

Yes! The Free plan includes 50 documents, 50 AI actions per month, 3 Smart Folders, and basic features. It's perfect for trying Clivio or light personal use. No credit card required to sign up, and it's free forever — not a trial.
Free (€0): 50 documents, 50 AI credits, basic features. Pro (€14.99/month): 1,000 documents, 500 AI credits, Finance module, Write AI, PDF editing. Pro+ (€29.99/month): 5,000 documents, 1,000 AI credits, full Finance suite, API access. Teams (€19.99/user/month): shared workspace, team permissions, admin console.
You'll get a notification as you approach the limit. Once reached, you can still access, search, and export existing documents, but new uploads are blocked. You can upgrade, delete old documents, or wait until your next billing cycle.
Yes, annual billing saves you money. Pro is €9.99/month when billed yearly (save €60/year). Pro+ is €24.99/month when billed yearly (save €60/year). Teams pricing also has annual discounts.
Yes. Cancel anytime from your account settings. You keep access to paid features until the end of your billing period. We don't do refunds for partial months, but we offer a 14-day money-back guarantee on annual plans.
Yes! Students and educators with a valid .edu email get 50% off the Pro plan. Sign up for a free account, then contact support to apply the discount.

AI Credits

AI credits power the smart features in Clivio. Most AI operations — like document analysis, extraction, chat, translation, and smart search — cost 1 credit each. It's a simple, predictable system.
Free: 50 credits/month. Pro: 500 credits/month. Pro+: 1,000 credits/month. Teams: 1,000 credits/user/month. Credits reset at the start of each billing cycle.
1 credit each: document analysis, data extraction, summary generation, chat with document, OCR processing, translation, smart categorization, Write AI features, Finance AI features, semantic search. Free (0 credits): cached results, basic keyword search, duplicate detection.
Yes! Credit packs are available: Starter (100 credits, €4.99), Medium (300 credits, €9.99), Large (1,000 credits, €24.99). Purchased credits don't expire and are used after your monthly allocation runs out.
Look at your account menu in the top-right corner, or go to Settings → Usage. You'll see credits used this month, credits remaining, and a breakdown by feature.

Security & Privacy

Absolutely. All data is encrypted at rest (AES-256) and in transit (TLS 1.3). Our servers are hosted on Google Cloud Platform in secure EU data centers. We use bank-level security standards and undergo regular security audits.
No. This is our most important privacy commitment. Your documents are used strictly to provide services to you. We do NOT use your data to train AI models, and we never share your documents with third parties.
Only you — and team members you explicitly invite if you're on the Teams plan. Clivio staff cannot access your documents unless you specifically request support help with a particular file.
Redacted Sharing is a Pro+ feature for privacy. When you share a document, AI automatically blurs sensitive information like social security numbers, credit card numbers, or account balances. Share bank statements or ID documents without exposing private data.
You do. You retain full ownership and intellectual property rights to everything you upload. Clivio has no claim to your content. Export or delete your data anytime.

Account & Settings

Go to Settings → Security → Danger Zone → Delete Account. You'll need to type 'DELETE MY ACCOUNT' to confirm. This permanently deletes all your documents, financial data, and account information. It cannot be undone.
We don't delete your data immediately. Days 0-7: grace period with full access. Days 7-30: read-only mode (view, export, delete only). Days 30-90: deletion warnings. Day 90+: documents over the Free limit are deleted. You'll receive email reminders throughout. Your 50 most recent documents are always kept.
Documents: download individually or use bulk export. Finance: export transactions as CSV or FEC (French accounting format). For a complete GDPR data export, contact support and we'll prepare everything for you.
Yes. Go to Settings → Account to update your email or password. Email changes require verification. You can also set up two-factor authentication for extra security.

Teams & Collaboration

Yes, on the Teams plan. Create Shared Folders where multiple team members can upload, view, search, and organize documents together. It works as a centralized document hub for your company.
Teams plan includes: multiple users, shared folders with permissions, admin console for user management, audit logs showing who did what, centralized billing, and priority support. SSO/SAML is coming soon for enterprise deployments.
Teams is €19.99 per user per month (or less with annual billing). Add or remove users anytime. Billing adjusts automatically. The account admin manages invites and can see usage across the team.
